Finance Committee Monthly Report

The AADB committees have begun to report on a monthly basis to it's members what it's activities are. These reports are provided as a means of accountablity and information of what AADB is trying to accomplish for it's members and so that if a member may know of a resource that could be beneficial to the committee, the emember may contact the committee chair and share that resource.
2012 Committee Reports

The Finance Committee completed the review of the 2012 budget and it has been submitted to the President and Secretary in a motion to the board for
review and acceptance. This will be completed sometime this month.
As it was a very busy time for me at my work this last month, I had not been able to focus on the other tasks with the committee as yet, but will do so this month.

The board rejected the motion to accept the 2012 budget and it was returned back to the committee for further review and analysis. This is being finalized. The motion is now being re-done and will be sent to the board again sometime this week when it is complete.
As treasurer, I also have answered some inquiries (via email and phone) from other board members and individuals. These inquiries were in the form of requests for clarification or responses to my requests/comments.

Because the original submission of the 2012 budget was rejected by the board, it was sent back to the committee for further review and revision. Several figures were readjusted once it was determined what the actual figures were to be. Also, a rationale was added to show that this was to be considered a temporary budget as such until QuickBooks for 2010 and 2011 were completed, and until that time, a few figures could only be considered as estimates. Once the committee members all agreed on the revision of the budget and its rationale, it was submitted to the board for review and approval. It is currently nearly wrapped up now and the results will be in sometime this month.

Since last month's report, we have completed the temporary budget for review by the board. The data entry and the 2011 final financial budget created from QuickBooks have just been completed. The Finance Committee will next be reviewing this information from QuickBooks prior to having the entire Board review and approve it. By the next report, we will be able to report exactly what funds are available overall as well as in each part, such as restricted funds, general funds, and others.

Since July, this is what have been happening within the committee:
The committee (myself as chair, Jill, Lynn, Dorothy, and Jeff Bohrman) are in discussion on the responsibilities of the FC and developing the mission statement from those.
Some names have been submitted in regards to volunteers to be added to the committee, and are being checked out prior to being invited to be on the committee. Other names will be forthcoming. This will be completed by next month's report.
I have been involved in answering several member and board questions regarding how much $$ there is in our accounts.

The FC has worked on mainly the draft 2012 budget, which will be completed in mid November and a letter was drafted to send out to a couple of potential candidates to join our committee. By December, we hopefully will have a new member (at least) on our committee. As for the committee's mission and goals, they have been discussed, and a draft is being written up, which will be completed in mid November as well. As the Treasurer, I also put together a spreadsheet of the banks' statement info for August and September for the FC to review along with the draft of the 2012 budget, which is now being revised (as mentioned earlier.)

The FC has been very busy reviewing and making corrections to the draft 2012 budget and which is now nearly ready to be approved by the full board within the week. All other work has been on hold until after the budget is finalized.
As Treasurer, I also kept the Finance and Executive Committee informed of the latest balances in our accounts as well. More will follow in the next report.
